Frequently asked questions

Practical guidance for the policy review, assignment, and attestation workflows teams use most often.

If you are setting up Policy Signoff for your team, you can create an organization during onboarding after you register and confirm your email address. If your team already has an organization, ask an administrator to send an invitation to the email address you use for sign-in. Once you accept the invitation, your policies and assignments will appear in that organization's workspace.

Organization administrators can open Users, enter the person's email address, choose the appropriate role, and send an invitation. The invited user receives an email with a link to join. If the person does not see the message, confirm that the email address is correct and ask them to check junk or spam folders before sending another invitation.

Administrators can open Policies and choose the create action to add a new policy record. Give the policy a clear name, add a short description, and set the review details your team needs. After the policy record is created, upload the current document version so users can review the right file when assignments are created.

Open the policy from the Policies page and use the upload version action to add the latest document. Policy Signoff keeps acknowledgments connected to the version each user was asked to review, so older completion records remain meaningful even after a policy is updated. When a policy changes materially, create new assignments so users can review and acknowledge the new version.

Administrators can open Assignments, choose the policy version that needs review, select one or more users, set a due date, and create the assignment. Use due dates that leave enough time for review and follow-up. After the assignment is created, notifications can be queued so selected users know there is work waiting for them.

Users can open Assignments from the menu or follow the link in an assignment notification. From there, they should review the policy document, confirm they understand the requirement, and submit the acknowledgment form. The completed acknowledgment is recorded with the assigned policy version, which helps your organization show who reviewed what and when.

The dashboard highlights overdue work so it is easy to spot items that need attention. Assignment views also show which reviews are open, complete, or past due. Administrators can use the assignment management screen to follow up across the organization, while regular users can focus on the assignments that are waiting for their own acknowledgment.

Regular users can review and acknowledge the policies assigned to them. Organization administrators have broader workspace responsibilities: they can manage users, roles, policy records, document versions, assignments, notifications, and organization settings. Admin access should be given thoughtfully because it affects both compliance records and team membership.
